Get ready for a partner assessment, even your first: list your documents, describe how you work, and get a pack and a dated action plan organised the way assessors work.
Start the readiness checkFree for local organisations
When a donor or partner assesses your organisation, Aidfolio helps you get ready. Answer short questions about how you really work, list the documents you hold, and get a readiness pack to bring to the assessment.
Also free: work out your true overhead rate, plan how to share risk with a partner, and find the best free resources in the Toolbox.

Counts show documents that are held and current. No scores, no grades: just what is ready and what to do next.
Three free tools
Each one runs in your browser, saves only on your device, and gives you a document to take to your partner.

How the readiness check works. You can stop at any point; your answers are saved in this browser, on this device.
Short multiple-choice questions in nine areas, from finance to safeguarding and security. Skip any area that does not apply.
For each standard document, say whether you have it and when it was last updated. Old documents are flagged, not counted against you.
Print it or save it as a PDF. Bring it to the assessment, or use it to fill in the donor's form faster.
What you get
Aidfolio never invents policies or practice. If you do not do something yet, the pack says so plainly and suggests a first step.
For each area, how many documents are ready, out of date or missing.
What to fix first, starting with what assessors ask for most.
Plain drafts of how you work, from your own answers, ready for you to check and edit.
A list of your documents with dates, like the front page of a binder.

Toolbox
A short, hand-picked list: for each job a local organisation faces, one or two free resources that do it well. The readiness check links to the right one for every gap it finds.
Every link is free to use and was checked in October 2026. Aidfolio is not affiliated with these organisations. Know a better free resource? Email richard@aidfolio.org.
For INGOs, pooled funds and NGO networks
Partners who prepare arrive with their evidence in order, a clear picture of their true costs, and a list of risks to discuss with you. You keep your own processes; Aidfolio helps partners prepare for them.
For INGOs, UN agencies, pooled funds and networks
Local organisations never pay. Organisations that fund or partner with them can commission work that makes the free tools fit their partners better. Everything we build this way is released free to everyone.
We map your own partner assessment or due-diligence questions to the readiness check, so your partners prepare for exactly what you ask.
Live online sessions for a group of your partners: the three tools, step by step, with time for their questions.
Fund the translation and testing of one language with local organisations. Your support is credited on the site.
Our rule: paid work never changes what the free tools say or recommend, and no funder sees anyone's answers. We list every paying client and every amount in our public monthly ledger.
Privacy
We built Aidfolio so we could never see your answers, even if we wanted to.
Support the work
The tools stay free for local organisations whatever happens, and the website itself costs about US$11 a year. If you work for an organisation that funds local partners, or simply believe in this work, your support pays for new languages, testing with local organisations, and new tools. Every dollar in and out is published in a monthly ledger.
Choose any amount, by card or wallet, through Stripe. About US$25 pays to translate one page of guidance.
Give onceUS$10 a month, or more by raising the quantity. US$40 thanks one local organisation for testing a new language. Cancel any time by email.
Give monthlySee the monthly ledger · Aidfolio is an independent project, not a registered charity, so gifts are not tax-deductible. Payments are processed securely by Stripe.
Questions
No. Aidfolio is a self-assessment. Nobody checks your answers, and the pack says so. Donors and partners will still run their own checks; the pack helps you get ready for them.
It drafts short statements of what you told it you already do, so you can check, edit and adopt them. It never claims you do something you said you don't. For a full policy, use the draft as a starting point and get advice where you need it.
Yes, especially. Organisations facing their first assessment have the least support and no earlier assessment to reuse. Tick "We have never had an assessment" at the start: your pack then includes an action plan with the dates you choose, so a first funder can see what you already do and what you will put in place.
Some international NGOs now share one assessment of a partner instead of each doing their own, using the open Charter for Change Due Diligence Passporting Tool. The assessing organisation completes and rates it; you review and sign it, and it can then be shared, with your consent, so you are not assessed again. Aidfolio organises your pack by the passport's capacity areas to make that first assessment quicker. Aidfolio is independent and not affiliated with Charter for Change or Humentum.
Any local or national organisation preparing for a partner assessment: NGOs, community groups, faith-based organisations and associations. It is also useful for an annual check-up.
English now. Sinhala, Tamil, French and Arabic are next, translated and tested with local organisations. You can help translate.
Some documents, like bank statements or board minutes, are only useful if recent. Aidfolio uses simple default periods, shown next to each document, for example 3 months for bank statements. These are our defaults, not an official rule; your donor may use different ones.
No. Aidfolio gives practical, general guidance. Laws differ by country; take advice on legal questions.
Aidfolio is built and run by Richard Prouse in New Zealand as an independent, unpaid humanitarian project. The code is open source, and the questions are free for anyone to reuse. Contact: richard@aidfolio.org.
By small donations, grants, and paid work for international organisations that partner with local ones (see Work with us). Local organisations never pay, and no funder can change what the tools say. Every amount in and out is published in our monthly ledger.
